Sonoma Media Investments (SMI), an independent, privately-owned multimedia company based in Santa Rosa, is seeking an Event Manager to join our marketing team.  Formed in 2012 by a consortium of local investors who recognize the value of quality local journalism, SMI is home to the most-read publications and websites in the affluent Sonoma Valley, north of San Francisco.

 

Each week, seven out of ten North Bay adults – more than 376,000 in total – engage with the many SMI publications and their corresponding websites, including: The Pulitzer Prize-winning Press Democrat (the flagship daily), The Sonoma Index-Tribune, Petaluma Argus-Courier, The North Bay Business Journal, Sonoma Magazine and La Prensa Sonoma (the region’s premier Spanish-language newspaper and website). 

 

The Event Manager position focuses on producing events and other activities with desired attendance and quality. The Event Manager is primarily focused on core events and responsible for managing one event coordinator. In addition, this position fulfills event sponsorship benefits according to the sponsorship agreement. This position requires regular face-to-face interaction with clients, suppliers, sponsors, non-profits, event presenters and speakers.  This position also requires effective management of expenses and within the parameters of an approved P&L projection.

 

Essential job functions include, but are not limited to the following:

  • Work with Event and Sponsorship Director to develop, plan, and produce highly profitable and well-organized events. 

  • Responsible for steering event marketing through various media and communication platforms and driving attendance.

  • Responsible for ensuring all appropriate required permits for events are received, and SMI complies with all laws for events we are hosting and/or participating.

  • Effective expense budget management of our events and event participation.

  • Responsible for contract negotiation with vendors.

  • Responsible for our fulfillment of all sponsorships and/or partnerships.

  • Develops and maintains effective relations with key sponsors, suppliers, support vendors, nonprofits, and speakers.

  • Discover, investigate, and develop new event opportunities for consideration, with an eye on our future and positioning our company as a thought leader of innovation and the premier source of local trusted news and information in Sonoma.

  • Supervise a coordinator staff member who will assist you, and the Celebrate Community program manager.  The coordinator will be responsible for assisting with event organization, communication, ad fulfilment, etc.

  • Creates guidelines and approval processes for all sponsorships including ticket distribution and booth representation. 

  • Monitor all contracts for completion and ensure that all applicable details are addressed.

  • Track all tickets to ensure distribution to advertisers, management, and employees.

  • Provides and promotes the highest level of customer service and inter-personal, inter-departmental and intra-departmental relations at SMI.

  • Effective community relations/represent SMI in the communities we serve.

  • Manage multiple priorities across a variety of programs.

  • Manage sponsorship ticket usage within SMI organization.

  • Comply with all company policies and procedures as outlined in company handbook.

Qualifications
 
  • Bachelor’s Degree or equivalent in Business Administration, Marketing, Communications or related field preferred or minimum 3 years of experience with successful multiple event planning and coordination at the management level.

  • Demonstrated past success in a comparable position a plus.

  • Must have a valid California State Driver’s License and proof of insurance. 

  • Must have a reliable transportation.

  • Proven record of responsibility and must be able to show ability to work independently.

  • Problem-solving skills relating to event planning, customer service and technical difficulties.

  • Be able to work under deadline pressure.

  • Strong interpersonal, verbal, analytical, written, and persuasive skills.

  • Ability to organize and prioritize work to meet deadlines.

  • Must be flexible regarding work hours.  Occasional evening hours are required.  Weekend and holiday hours may be needed.

  • Proficient with business-oriented software, i.e. Microsoft Office Suite.
